Any changes are posted on the Library's website and on the bulletin board in the entrance to the Library, as well as other campus locations.
Loan Policies
Books
- Books for class use may be checked out for 120 days but are subject to recall when holds are placed on individual items. Whenever possible books should be returned before the due date to enable others to have access to them. Reference collection materials do not generally circulate but on occasion may be borrowed for very short periods of time should this be required to meet specific teaching needs.
- Reference collection material, Stats Canada items, Student theses and periodical materials do not normally circulate.
- Exceptions may be given by regular staff (not student assistants) to faculty for special uses, such as classroom instruction. The loan period is negotiated, clearly defined, and is the shortest possible time. Horizon permits a one-day loan of Reference material to faculty; at the discretion of regular staff, material may be allowed out for a longer--though short and clearly defined-- period of time.
- Ask the borrower to return the material directly to staff to ensure that it is checked in and resensitized.
Periodicals
- Periodicals or non-barcoded items should be checked out using a document envelope; edit the due date in Horizon and identify the contents on the front of the envelope. (E.G. "Newsweek July 12, 2001)

Audiovisual Materials [including videocassettes & DVDs]
- Audiovisual resources may be checked out for 21 days.
Reserve Materials | Reserve Form
- The Reserve collection should in most cases contain a limited number of items for each course. The number will vary with course demands, but your aim should be to reduce the quantity of Reserves to the minimum number compatible with your course objectives.
- The Reserve collection should house only aptly chosen titles. These should be materials which you require your class to use. Optional readings, even if highly recommended, should remain in the circulating collection.
- Books and other materials may be placed on reserve for restricted use under the following categories:
Two hour: charged out to borrowers for a 2 hour period for in-library use only.
Twenty-four hour: due 24 hours after checkout.
Forty-eight hour: due by closing time on the day indicated.
Seventy-two hour: due by closing time on the day indicated.
One Week: due by closing time on the day indicated.
- Copies of current periodicals and reference works are not placed on reserve.
- Copies of relevant articles should be made and placed on reserve.
- It is the responsibility of faculty to retrieve resources for reserve from the stacks.
- Notification to remove resources from reserve should be given to the Library immediately after they are no longer required.
Reading Lists
- The reference librarians encourage faculty to send a copy of all reading lists which require the use of library materials to the Information counter. This assists us in giving students the best possible service.
ID Cards
- All faculty require a TWU/S card to sign out materials from the Library. A requisition form may be obtained from the Personnel Office (upper level of the Reimer Student Centre). This form is then taken to the Campus Service Centre (Reimer Student Centre, near the Atrium) where the card is produced.
Overdues and Losses
- Faculty should make arrangements at the Circulation counter for payment for lost items.
- Overdue notices are sent out automatically by e-mail. After the 3rd overdue notice, it is assumed that the resources are lost and charges are sent to the business office of the University.
Interlibrary Loan Service
Library Cards
- Faculty may obtain extramural library cards at the University of British Columbia and Simon Fraser University by showing their TWU identification card, as well as a COPPUL Reciprocal Loan Program card (may be obtained from Ron Braid, Asst. Librarian, Reference & Circulation), at the appropriate location.
Loans [excluding videocassettes]
- Interlibrary loans are primarily obtained via an automated network of thousands of libraries throughout Canada and the United States.
Policy
- Due dates for interlibrary loan materials are subject to the loan policy of the lending library.
Procedure
- Borrowers should fill out an Interlibrary Loan Request form for each item. These forms (separate forms for books and periodical articles) are available online, on the Library's webpage: http://www.twu.ca/library/libreq.htm
- If the request is not granted by the lending library the requester will be contacted for a decision with regard to further searching at a later date.
Charges
- TWU & ACTS full-time faculty receive ILL requests at no charge. Part-time TWU & ACTS faculty may initiate up to 25 ILL requests per academic year at no charge.
Media Exchange Cooperative
- The Media Exchange Cooperative (MEC) consists of twenty-eight post-secondary libraries in B.C. which have agreed to lend their videocassette and DVD collections to one another (within the boundaries of licensing agreements with the video/DVD vendors). The cooperative is administered through the Electronic Library Network at the Open Learning Agency. Faculty members may book audiovisual materials through the TWU Library from these other institutions. To book videos or DVDs an AV Request/Use form must be filled out. Copies are available at the Information counter in the Library. A minimum of a week is required to arrange booking and courier services (this does not guarantee that a specific item is available). It is suggested that faculty members book materials at the beginning of a semester for use during the entire semester. This will ensure a greater likelihood of the availability of items requested.
- Videos and DVDs are sent between MEC institution using commercial courier services. The courier charges are billed to the appropriate department.

Formats
- Backfiles are available in several formats including microform, bound, and loose files as well as online.
Requests
- Requests for changes and additions to the Periodical collection should be submitted to the Director of Libraries by the end of May for inclusion in the collection the following January.
Copies
- Paper copies of microform periodical backfiles may be made on the microform printers in the Microform Room (main level of the Library). These machines, like the photocopiers, are controlled by a debit card system. Faculty debit cards may be obtained at the Circulation Counter and will be charged to the appropriate faculty.
Reference Service
Assistance
- Library personnel will do everything possible to assist in the location of information and resources.
- The Assistant Librarian, Reference and Circulation and the Assistant Librarian, Reference and Media are on duty during week days to facilitate information needs.
Literature
- Bibliographies, directories, film catalogues, documents, and books, paper , CD-ROM and online periodical indexes are among the reference sources available.
Library Orientation and Bibliographic Instruction
- A library instruction program is carried out in each freshman English class. Specialized introductions to the literature of various disciplines may be arranged. New faculty are encouraged to make an appointment with a reference librarian for a tour of the Library.
Photocopying
- Photocopiers are available on each level of the Library. Long copy runs should be done on faculty photocopy machines in the Neufeld Science Centre (NEU), Seal Kap, Robert N. Thompson (RNT), or Mattson buildings.
- Library staff are not permitted to make photocopies for faculty.

Media Services
Resources
- The Library owns a number of filmstrips, kits, audiocassettes, CDs, videocassettes, DVDs, and slides.
Arrangement and Access
The Videocassette collection consists of approximately 3000 videocassette & DVD titles housed on the upper level of the Library. Access to the collection is via the Library's online catalogue. Use a Quick Title keyword search and type one or two words from the title plus the word "videorecording."
Audiocassettes & CDs (both music & data) are kept on the Upper Level of the Library. There are a number of filing systems at present. A limited number of audiocassettes are catalogued and accessible through the Library’s online catalogue.
Hardware Circulation
- Video and audio equipment in the Library does not circulate. Listening and viewing stations are available. They may be reserved, in advance, for in-library use of audiovisual materials.
Requesting Library Materials
Procedure for Requests
- An online faculty book request form can be found at: http://webpac.twu.ca:8080/bookreq/bookreq.htm (before ordering please check with your department chair to see what funds your area has remaining).
- If you wish to order a book, please complete the online order form with as much specific information as you can provide: including specific volume(s) required, ISBN, full title, author, series, price, etc. Be sure to assign a "Priority" rating and a "Need-by" date to your requests so that the Acquisitions Dept. can process orders in a timely manner.
- All requests for library purchases of materials handled by the TWU Bookstore are to be channeled through Technical Services (Shirley Lee, local 3914 or send an email).
Reporting on Requests
- Orders for materials which are already held in the Library will be cancelled.
- When materials requested are received and processed, a brief record will be added to the online Catalogue, with a "Newly Acquired" item status until the materials are fully catalogued. "Newly Acquired" items are available for loan within 24 to 48 hours of a patron placing a hold request online.
- New books are displayed on New Books shelves on the main level of the Library.
Budget Allocations for Books and Serials
- It is Library policy to formally allocate funds by academic faculties. Contact your department chairperson or assistant dean to determine the exact amount of funds available to your department. Note that since 2009, the university-wide redesign process has eliminated the budget for books and audio-visual materials; therefore, departmental allocations are suspended until funding is restored.
Lost Books and Materials
- Faculty are responsible for materials which are loaned out to them. Should any of these materials be lost while out on loan replacement cost will be assessed for each item.
- Faculty discovering apparently missing materials in the collection should report this to the Library. The Library will assume the responsibility of acquiring replacements of needed materials.
Gifts of Materials and Resources
- The Library welcomes gifts from faculty. These will be accepted under the terms of current Library policy.
Reciprocal Borrowing
- Trinity Western University is a member of COPPUL (Council of Prairie and Pacific University Libraries). This membership provides reciprocal borrowing and interlibrary loan privileges to all faculty, graduate students and staff of member institutions.

The Library Committee
The Library Committee has three specific functions and responsibilities:
- To serve as liaison between the faculty and the University Librarian (email).
- To advise the University Librarian on matters of Library policy.
- To work with the University Librarian to increase the utilization of library resources.
This committee is not representative of the faculties but of the faculty as a whole, student affairs, and the broader student body.
Matters of Library interest and concern should be brought to the attention of committee members.
