When should I apply for graduation?

For all ACTS students, the priority deadline for graduation applications is October 31 in your final year of study. This deadline is the same regardless of whether you will complete your coursework in the fall or spring semester.

How do I apply for graduation?

Submit an application for graduation online through the Academics page of the Student Portal.  Click on ‘Apply for Graduation’ under the Graduation heading and select your anticipated semester of graduation.

You only need to complete this process once. No checklist submission is required for Degree Completion, Graduate Studies, or ACTS students.

What happens after I submit my graduation application?

Your degree audit will be completed in either December (for fall graduates) or February/March (for spring graduates). You will be notified by a staff or faculty member at ACTS if there are any outstanding degree requirements you need to complete.

How will I know if I am eligible to participate in a graduation ceremony?

The Office of the Registrar will communicate your ceremony eligibility status with you during the semester in which you plan to graduate. If you are not eligible to attend the ceremony for which you initially applied, we will forward your graduation file to the next semester and you will be considered for participation in future ceremonies.

A staff or faculty member from ACTS will contact you in the spring semester once your eligibility for the graduation ceremony has been determined.

Do I need to submit a Degree Completion Verification Form to the Office of the Registrar?

Please submit a Degree Completion Verification Form to the Office of the Registrar helpdesk (twu.ca/help) once your final grades are entered if you meet any of the following criteria:

  1. Your final grades are entered (or transfer courses completed) one month or more after the end of the semester
  2. You did not apply online for graduation for the semester you completed in
  3. You were not eligible to participate in the most recent graduation ceremony
  4. You are a completing a Graduate Certificate program

What if I need to delay my graduation?

If you have already submitted a graduation application but have decided to take time away from your studies, or have determined that you will not be able to graduate in the semester that you applied for, please notify the Office of the Registrar at twu.ca/help. Please include your new target graduation semester (if applicable) in your Service Hub request.

How and when can I receive my official transcript, diploma, or graduation letter?

You have handed in your final essays and completed your last exams and all your final grades are entered. Congratulations on completing your degree!

There are three documents that you may need now that you are finished: your official transcript, your diploma (also known as your degree certificate) and a verification of graduation letter.  These documents are not automatically issued when you finish your degree. Please see the instructions below on how to receive any of these documents.

Official Transcript

You may order an official transcript through the Student Portal at https://www.twu.ca/academics/office-registrar/transcript-orders

If you have forgotten your username and/or password, and need assistance with login permissions, you may submit the information requested at www.twu.ca/password-reset or contact our IT department at 604-888-7511 ex 3200 and they will be able to assist you with access to your online records.

Please note that degree conferral dates are entered in the first few business days following the May 31 or December 31 conferral dates, and will appear on your transcript after this. If you need to have a transcript with your conferral date included, please wait until it is entered. You can check for your conferral date using your unofficial transcript here.

Diploma

Your diploma will be available after your degree conferral date (which is the date that your diploma is issued). The Office of the Registrar will confirm your mailing address with you around the time that your diploma is available. Mailing addresses can also be updated through the Student Portal at any time. Please ensure your address is entered in English.

Please note that diplomas are mailed to permanent addresses on file unless otherwise requested. If you would like your diploma mailed to an alternate/temporary address, please notify the Office of the Registrar through our helpdesk at www.twu.ca/help.

Picking up diplomas at our Langley campus can also be arranged. Once you receive notice that your diploma is available, please let us know if you would like to arrange pick up.

Your degree conferral date will depend on a variety of factors, such as your last semester of registration or your course completion date (depending on your program and the circumstances of your completion). For more information about how conferral dates are awarded, please click here.

Note: If your final grades are entered one month or more after the end of the semester, if you did not apply online for graduation, or if you were not eligible to participate in the graduation ceremony, please submit a Degree Completion Verification Form to the Office of the Registrar helpdesk (twu.ca/help) once your final grades are entered.

If your degree conferral date falls a few months after your last grades are entered (this typically occurs if you complete your coursework over the summer), you may wish to order a Verification of Graduation Letter.

Verification of Graduation Letter

A Verification of Graduation letter confirms the successful completion of all academic requirements for your program.  This letter can be used prior to receiving your diploma or prior to your degree conferral date being entered on your transcript.

You may request a Verification of Graduation by completing the Verification Letter for Enrolment or Graduation form available on the Office of the Registrar’s form page. Once completed, please visit our Helpdesk at www.twu.ca/help and submit the form as an Office of the Registrar - Student Services and Inquires ticket request.  There is a $10 letter fee for this document. Once the request is received by our office, expect to receive the letter in 2-7 business days.

What graduation date will appear on my diploma?

Your degree conferral date will be listed on your diploma (as well as on your official transcript) shortly after the conferral date has passed. Your degree conferral date is not necessarily the same as your graduation ceremony date. For more information on degree conferral dates, click here.

How do I update my mailing address for my diploma delivery?

Mailing addresses can be updated through the Student Portal at any time. Please ensure the address is entered in English.

Please note that diplomas are mailed to permanent addresses on file unless otherwise requested. If you would like your diploma mailed to an alternate/temporary address, please notify the Office of the Registrar through our helpdesk at www.twu.ca/help.

Will a tracking number be available for my diploma delivery?

Tracking numbers are only available for international deliveries outside of Canada and the United States. All deliveries within Canada and the US will be made using regular Canada Post mail and will not come with a tracking number (unless courier shipment is requested and paid for by the student).

How long will it take for me to receive my diploma in the mail?

Timelines for diploma delivery will depend on the location of the delivery and the expected timelines/workload of the mail delivery service used (Canada Post, DHL, Purolator, etc.). Please allow 4-8 weeks after your conferral date for printing and delivery of your diploma before contacting the Office of the Registrar to inquire about your diploma mailing. In 2021, possible delivery delays due to COVID-19 mailing protocols should be expected.

My diploma has been damaged or lost. How do I order a reprint?

Please complete our Diploma Reprint form and submit it to the Office of the Registrar through the Service Hub. Please note that diploma reprint requests are subject to a $100 reprint fee. Additional mailing fees will apply for courier/international deliveries.

I would like to have additional copies of my diploma. How can I request these?

Please complete our Diploma Reprint form and submit it to the Office of the Registrar through the Service Hub. The first copy that you request will be subject to a $100 reprint fee. Any additional copies will be charged at $20 each. Mailing fees will apply for courier/international deliveries.

What is a degree conferral date? When will my degree be conferred?

A degree conferral date is the official date on which the university awards your degree. Your degree conferral date is not necessarily the same as your graduation ceremony date. Degree conferral dates are set dates each semester that remain the same every year.

Your conferral date is determined based on your last semester of registration and/or your course completion date. You will receive your diploma after your degree conferral date has passed. Your official transcript will also show your degree conferral date after this date has passed. Please check your unofficial transcript for a conferral date before ordering your official transcript after graduation.

For ACTS students, the university has two conferral dates per year.

Spring: If your last semester of registration is in the spring semester, your degree will be conferred on May 31 and your diploma will be prepared for mailing in June.

Fall: If your last semester of registration is summer or fall, your degree will be conferred on December 31 and your diploma will be prepared for mailing in January.
