The deadline to apply for graduation will depend on which semester you plan to complete your final courses in.
Summer/Fall: If you will complete final coursework in the summer or fall semester, July 15 of your final year study is the priority application deadline. Application for fall graduation will be accepted up until September 1.
Spring: If you plan to complete coursework in the spring semester, December 31 in the semester prior to your graduation is the priority application deadline. Applications will be accepted up until January 31.
You only need to complete this process once. No checklist submission is required for Degree Completion, Graduate Studies, or ACTS students.
Graduate Certificate program students should follow the same application process and schedule as degree-seeking graduate students (see information listed above). Please note that students in Graduate Certificate programs are not eligible to participate in TWU Convocation Ceremonies. However, students may be invited to participate in graduation events held by their department where applicable.
If you have already completed a Graduate Certificate but have not yet received your certificate or been issued a conferral date (which should appear on your unofficial and official transcripts), please submit a Degree Completion Verification Form to the Office of the Registrar through the Service Hub so that we can issue your certificate.
Your degree audit will be completed in either September (for summer/fall graduates) or February/March (for spring graduates). You will not receive a physical copy of your audit. However, you will receive an email from the Office of the Registrar once the audit is complete notifying you whether or not you are eligible to participate in the graduation ceremony that semester.
Even if you are not eligible for that semester’s ceremony you may still have your degree conferred at the end of that semester. You would then be invited to participate in the next graduation ceremony. Please see this FAQ for more information.
The Office of the Registrar will communicate your ceremony eligibility status with you during the semester in which you plan to graduate. If you are not eligible to attend the ceremony for which you initially applied, we will forward your graduation file to the next semester and you will be considered for participation in future ceremonies.
In order to be eligible to participate in a graduation ceremony, you must have all coursework and thesis defense requirements completed with final grades submitted (including thesis and final project grades) no later than five weeks in advance of the ceremony date. This applies to participation in either the spring or fall graduation ceremony.
If you will not meet the five-week grade entry deadline for ceremony participation, but will complete your final coursework during that semester, you should still apply for graduation in that semester. This will ensure that a graduation audit is completed for you and will help you receive your degree more promptly after that semester’s conferral date.
Please fill out the Notice of Degree Completion form once your final grades are entered if you meet any of the following criteria:
- Your final grades are entered (or transfer courses completed) one month or more after the end of the semester
- You did not apply online for graduation for the semester you completed in
- You were not eligible to participate in the most recent graduation ceremony
- You are a completing a Graduate Certificate program
If you have already submitted a graduation application but have decided to take time away from your studies, or have determined that you will not be able to graduate in the semester that you applied for, please notify the Office of the Registrar at twu.ca/help. Please include your new target graduation semester (if applicable) in your Service Hub request.

Your degree conferral date will depend on a variety of factors, such as your last semester of registration or your course completion date (depending on your program and the circumstances of your completion). For more information about how conferral dates are awarded, please check the What is a degree conferral date? When will my degree be conferred? FAQ on this webpage.
Note: If your final grades are entered one month or more after the end of the semester, if you did not apply online for graduation, or if you were not eligible to participate in the graduation ceremony, please submit a Notice of Degree Completion form once your final grades are entered.
If your degree conferral date falls a few months after your last grades are entered (this typically occurs if you complete your coursework over the summer), you may wish to order a Verification of Graduation Letter.

A Verification of Graduation letter confirms the successful completion of all academic requirements for your program. This letter can be used prior to receiving your diploma or prior to your degree conferral date being entered on your transcript.
You may request a Verification of Graduation letter on the Information & Records- My eRecords section on the Student Portal Page. Once ordered on the Student Portal Page, you will receive an email notification from MyCreds™ (the notification will be sent to your @mytwu.ca email) with instructions to access your letter. Your degree conferral date will be listed on your diploma (as well as on your official transcript) shortly after the conferral date has passed. Your degree conferral date is not necessarily the same as your graduation ceremony date. For more information on degree conferral dates, click here.
Mailing addresses can be updated through the Student Portal at any time. Please ensure the address is entered in English.

Tracking numbers are only available for international deliveries outside of Canada and the United States. All deliveries within Canada and the US will be made using regular Canada Post mail and will not come with a tracking number (unless courier shipment is requested and paid for by the student).
Timelines for diploma delivery will depend on the location of the delivery and the expected timelines/workload of the mail delivery service used (Canada Post, DHL, Purolator, etc.). Please allow 4-8 weeks after your conferral date for printing and delivery of your diploma before contacting the Office of the Registrar to inquire about your diploma mailing. In 2021, possible delivery delays due to COVID-19 mailing protocols should be expected.
A degree conferral date is the official date on which the university awards your degree. Your degree conferral date is not necessarily the same as your graduation ceremony date. Degree conferral dates are set dates each semester that remain the same every year.
Your conferral date is determined based on your last semester of registration and/or your course completion date. You will receive your diploma after your degree conferral date has passed. Your official transcript will also show your degree conferral date after this date has passed. Please check your unofficial transcript for a conferral date before ordering your official transcript after graduation.
For graduate students, the university has three conferral dates per year.
Spring: If your last semester of registration is in the spring semester, your degree will be conferred on May 31 and your diploma will be prepared for mailing in June.
Summer: If your last semester of registration is in the summer semester, your degree will be conferred on the first Saturday in November, and your diploma will be prepared for mailing in November.
Fall: If your last semester of registration is in the fall semester, your degree will be conferred either on the first Saturday of November (if your courses end before this date) or on December 31. If you receive a December 31 conferral date, your diploma will be prepared for mailing in January.
