The official deadline for submitting graduation applications is April 30 of the year prior to your last year or semester at TWU. For example, if you plan to complete your degree in four years, you need to apply for graduation in the spring semester of your third year (before April 30).
Applications will be accepted after the April 30 deadline, but a $50 late fee will be applied to your student account. Graduation audit completion will be prioritized for students who apply before the April 30th deadline.
In order to apply for graduation, follow this two step process:
- Submit an application for graduation online through Student Services. Click on 'Apply for Graduation' under the Graduation heading on the Courses, Fees & Enrolment page.
- Fill out the official program checklists for your major and any minors/concentrations and click here to submit them to the Office of the Registrar. If possible, please submit checklists in PDF format.
Students should use the checklist year that matches their year of entry. Students who have taken two or more semesters away from TWU should use the checklist year of their return. (Exceptions apply only to re-enrolling students within 12 s.h. of graduation).
Checklists are available on the Academic Advising Website. Make sure you select an appropriate academic year (speak to your advisor if you are unsure which to choose). Please note: your graduation application is not complete until you have submitted your checklists.
Initial graduation audits will be completed for both fall and spring semester applicants during the summer prior to your last semester or year of study. All initial audits should be completed before the add/drop deadline in September for those who applied prior to the April 30 deadline. You will receive an email from the Office the Registrar once your graduation audit is available to view and download through the student portal here. All students are encouraged to review their graduation audits with their academic advisor. If you and/or your advisor you have any questions for the graduation team, please contact the Office of the Registrar at twu.ca/help.
For students graduating in the spring semester, graduation audits will be updated in January (after Fall semester grades have been submitted).
The Office of the Registrar will communicate your ceremony eligibility status with you during the semester in which you plan to graduate. If you are not eligible to attend the ceremony for which you initially applied, we will forward your graduation file to the next semester and you will be considered for participation in future ceremonies.
In order to be eligible to participate in the spring graduation ceremony, all coursework must be completed or registered for and in progress by March 15 (this includes Letter of Permission transfer credit courses, for which Confirmation of Enrollment will be required). Additionally, all GPA requirements for your degree must be met before December 31 in the semester prior to your spring graduation ceremony.
You can expect to receive an email from the Office of the Registrar in late January or early February notifying you of your ceremony eligibility. However, the deadline for finalizing spring eligibility lists is March 15 every year. This means you will have between early February and March 15 to sort out any course requirements or paperwork that may be missing for your degree.
Please fill out the Notice of Degree Completion form once your final grades are entered if you meet any of the following criteria:
- Your final grades are entered (or transfer courses completed) one month or more after the end of the semester
- You did not apply online for graduation for the semester you completed in
- You were not eligible to participate in the most recent graduation ceremony
If you have already submitted a graduation application but have decided to take time away from your studies, or have determined that you will not be able to graduate in the semester that you applied for, please notify the Office of the Registrar at twu.ca/help. Please include your new target graduation semester (if applicable) in your Service Hub request.
Instructions on how to view your unofficial transcript and to order digital or paper copies of your transcript are available on the Office of the Registrar- Transcript page.
Please note that degree conferral dates are entered in the first few business days following the May 31 or December 31 conferral dates and will appear on your transcript after this. If you need to have a transcript with your conferral date included, please wait until it is entered. You can check for your conferral date using your unofficial transcript here.
Your diploma will be available after your degree conferral date (May 31 or December 31). A digital or electronic diploma (eDegree) will be available to order after your conferral date- please visit Information & Records- My eRecords section on the Student Portal Page to order your free copy, available to access on MyCreds™. Once ordered on the Student Portal Page, you will receive an email notification from MyCreds™ (the notification will be sent to your @mytwu.ca email) with instructions to access your eDegree. For more information about digital records and MyCreds™ please visit here.
For a paper copy of your diploma, please allow 4-8 weeks after your conferral date for printing and delivery. We will email you to confirm your current/preferred delivery address when your diploma is ready to be mailed. Picking up printed diplomas at our Langley campus can also be arranged. Once you receive notice that your diploma is available, please let us know if you would like to arrange pick up by submitting a request via the Service Hub.
Your degree conferral date will depend on a variety of factors, such as your last semester of registration or your course completion date (depending on your program and the circumstances of your completion). For more information about how conferral dates are awarded, please check the What is a degree conferral date? When will my degree be conferred? FAQ on this webpage.
Note: If your final grades are entered one month or more after the end of the semester, if you did not apply online for graduation, or if you were not eligible to participate in the graduation ceremony, please submit a Notice of Degree Completion form once your final grades are entered.
If your degree conferral date falls a few months after your last grades are entered (this typically occurs if you complete your coursework over the summer), you may wish to order a Verification of Graduation Letter.
Verification of Graduation Letter
A Verification of Graduation letter confirms the successful completion of all academic requirements for your program. This letter can be used prior to receiving your diploma or prior to your degree conferral date being entered on your transcript.
You may request a Verification of Graduation letter on the Information & Records- My eRecords section on the Student Portal Page. Once ordered on the Student Portal Page, you will receive an email notification from MyCreds™ (the notification will be sent to your @mytwu.ca email) with instructions to access your letter. There is a $10 letter fee for this document. For more information about digital records and MyCreds™ please visit here.
Your degree conferral date will be listed on your diploma (as well as on your official transcript) shortly after the conferral date has passed. Your degree conferral date is not necessarily the same as your graduation ceremony date. For more information on degree conferral dates, click here.
Mailing addresses can be updated through the Student Portal at any time. Please ensure the address is entered in English.
Please note that diplomas are mailed to permanent addresses on file unless otherwise requested. If you would like your diploma mailed to an alternate/temporary address, please notify the Office of the Registrar through our helpdesk at twu.ca/help.
Tracking numbers are only available for international deliveries outside of Canada and the United States. All deliveries within Canada and the US will be made using regular Canada Post mail and will not come with a tracking number (unless courier shipment is requested and paid for by the student).
Timelines for diploma delivery will depend on the location of the delivery and the expected timelines/workload of the mail delivery service used (Canada Post, DHL, Purolator, etc.). Please allow 4-8 weeks after your conferral date for printing and delivery of your diploma before contacting the Office of the Registrar through the Service Hub to inquire about your diploma mailing. In 2021, possible delivery delays due to COVID-19 mailing protocols should be expected.
A degree conferral date is the official date on which the university awards your degree. Your degree conferral date is not necessarily the same as your graduation ceremony date. Degree conferral dates are set dates each semester that remain the same every year.
Your conferral date is determined based on your last semester of registration and/or your course completion date. You will receive your diploma after your degree conferral date has passed. Your official transcript will also show your degree conferral date after this date has passed. Please check your unofficial transcript for a conferral date before ordering your official transcript after graduation.
For undergraduate students, the university has two conferral dates per year.
Spring: If your last semester of registration is in the spring semester, your degree will be conferred on May 31 and your diploma will be prepared for mailing in June.
Fall: If your last semester of registration is summer or fall, your degree will be conferred on December 31 and your diploma will be prepared for mailing in January.
Note for students completing transfer credit through a Letter of Permission request:
If you are completing Letter of Permission transfer credit for your degree, the completion date for your transfer credit will impact your degree conferral date. In order to receive a May 31 conferral date, all transfer credit must be completed before May 31. In order to receive a December 31 conferral date, all transfer credit must be completed before December 31.
It does not matter if TWU receives the official transcript for your transfer course(s) after the conferral date. However, there must be some proof from the transfer credit institution (usually on the official transcript) of your course completion date.
